Privacy Policy

Karamu powers table bookings and deposits for restaurants. This page explains, in plain language, what we collect when you book a table through a restaurant’s Karamu page or apply for the pilot, why we collect it, how long we keep it, and the choices you have.

Who we are

Karamu is operated by Karamu Hospitality Ltd, based in Nairobi, Kenya. For anything in this policy you can reach us at contact@getkaramu.com.

When you book a table

To create and manage your booking we collect:

  • Contact details: your name, phone number, and (optionally) email address.
  • Booking details: the date, time, party size, and any occasion or special request you choose to add.

We use these to hold your table, to send you booking confirmations, reminders, and updates by SMS or email, and to let you change or cancel through your private manage link. The restaurant you book with sees your booking details too — that is the point of the booking — and uses them to host you and to recognise you if you return.

If the restaurant asks for a deposit, the payment is handled by our payment provider (Paystack) and settles directly to the restaurant. Karamu never sees or stores your card number or M-Pesa PIN; we keep only the payment record — the amount, its status, and the provider’s reference — so your deposit can be honoured or refunded.

When you apply for the pilot

We only collect what you give us through the pilot application form: your name, your restaurant’s name, your work email, and your WhatsApp or phone number.

We use these to review your application and to contact you about the pilot — onboarding, setup and launch news. We will not sell your information, and we will not send you marketing on behalf of anyone else.

Who we share it with

  • The restaurant you book with — they receive your booking and contact details to manage that booking.
  • Our payment provider (Paystack) — to process deposits; they handle your payment details under their own security obligations.
  • Our service providers — the email and SMS delivery, hosting, and database providers that run Karamu. They process your information only on our instructions, and only to provide their service to us.

We may also disclose information if the law requires it.

How long we keep it

  • Booking and guest details: kept while the restaurant you booked with uses Karamu, for up to two years after your last booking with them — or until you ask us to delete them, whichever comes first.
  • Payment records: kept for at least five years, as Kenyan tax and financial record-keeping rules require, even if you ask us to delete the rest of your information.
  • Pilot application information: kept while we run the pilot and for a reasonable period afterwards, or until you ask us to delete it.

When a retention period ends we delete the information or anonymise it.

Your rights

Under Kenya’s Data Protection Act, 2019 you can ask us to access, correct, or delete the information we hold about you, and you can unsubscribe from our emails at any time. To make any of these requests, email contact@getkaramu.com and we will action it promptly.

Changes to this policy

As Karamu grows, this policy will grow with it. When we make a material change we will update the date at the top of this page.
